Rental Terms and Conditions
Arrival: The buildings will be open at the time agreed. Please plan to allow at least 30 minutes upon your arrival so that we can give you an orientation to our facility & go over the facility use guidelines.
Event Assistants: We request that you assign two people to be Event Assistants. Generally these would be people who are not the program leaders - who agree to receive the facility orientation and to be the contacts for your group during the event. During the event, the participants can direct any questions to the event assistants who know about the facility; and they can contact our staff if needed.
Facility Use: We provide Guidelines for using our facilities. Please read them to familiarize yourself with our current offerings. There is no smoking in the buildings, and no alcohol use or pets allowed.
Contact During Retreat: We recommend that you leave your own cell phone number for those who may want to reach you on your retreat since the office is not staffed after hours.
To Confirm: Send a signed reservation form and a deposit check to Wellspring. We will then give you a confirmation. One week before the event please email us a schedule for the event including meal times, and give the final numbers so we can set up and our cook can plan meals.
Cancellation: If you cancel more than six months before your reserved date, all but $150 of your deposit will be refunded. Cancellation less than six months before your date means your entire deposit will be forfeit; unless we can rent an equivalent space to another group. Many of our costs continue even when no group is here.
Wellspring Catering: Groups of 12 or more may use our catering service. We offer hearty and ample homemade vegetarian meals, with an optional fish or chicken casserole entrée. Breakfast is at 8am, lunch at noon, dinner at 6pm. Wellspring cannot accommodate special diets. Persons who cannot eat from our menu may bring supplemental food to be kept and prepared in the cabin kitchens (personal food is not allowed in the cook's kitchen). Guests are asked to help at mealtimes by setting and clearing tables, doing dishes and preparing a simple breakfast. Instructions and a sign-up list are provided. In lieu of desserts, Wellspring sends 35 cents from each lunch and dinner to hunger ministries. A fresh fruit bowl is always available.
Food: If you opt to provide your own meals you will bring & prepare your own food and beverages. Wellspring provides a full kitchen equipped with the basic utensils needed to prepare and serve meals. After your event, you will leave the kitchen clean, and all food you brought removed.
Linens: For overnight guests we provide a towel, wash cloth and linens for each person to make their own bed. Before departure guests will remove used linens and remake beds with mattress cover, pillow and bedspread. Used linens may be left in the cabin laundry area or living room. Sign-up sheets for room assignments are available.
What to bring: Guests should be prepared for changeable
weather conditions. Guests will bring personal items including flashlight
and toiletries (shampoo, toothbrush, tooth paste, sun block and bug spray,
etc.). Many enjoy bringing a hat, journal, binoculars, a walking stick, water
bottle.
